The audit

What happens in the 15-minute audit?

We ask three questions about how you lodge and track workers comp invoices, run the spreadsheet you already keep through the import preview on your own computer, and show you two numbers: the total with no matching payment, and the invoices close to the 30-day window.

What do we need to prepare?

Nothing beyond the spreadsheet or export you already use to track workers comp invoices, and a computer with a web browser. There is nothing to install.

Does the audit cost anything?

No. The audit is free and the numbers are yours to keep whether or not you go any further.

Which areas do you visit?

Sydney’s inner west and nearby suburbs on Tuesday mornings and Wednesday afternoons. If you are further out, get in touch and we will work out a time.

The product

What does Versa Claims actually do?

It matches each insurer pay advice to the invoice it pays, tracks every workers comp invoice against the 30-day lodgement window, shows what is still unreconciled in dollars, and drafts the follow-up for anything unpaid.

Do you need access to our practice software?

No. Versa Claims works from a spreadsheet export, or the sheet you already keep. It never writes to your practice management system.

Does it matter which software we use?

No. If your system can export invoices to a spreadsheet, that is enough.

Our spreadsheet has more than workers comp in it.

That is normal. Rows billed to the patient, Medicare, a health fund or the NDIS are set aside and shown to you, and not imported. Rows billed to another insurer — CTP, DVA, or a report billed to a law firm — are brought in and labelled, because each one is lodged and waited on the same way.

Does it chase insurers for us?

It drafts the follow-up. A person at your desk sends it. Nothing goes out in your practice’s name without someone reading it first.

Do we have to give up our spreadsheet?

No. Most practices keep both going for the first few weeks and let the workers comp rows in the spreadsheet retire on their own.

Does it cover CTP or other schemes?

Versa Claims is built for NSW workers compensation, and the 30-day clock it watches is the workers compensation rule. CTP, DVA and medico-legal invoices in your sheet are brought in and tracked alongside so nothing is lost, and labelled so you can tell them apart — but the deadline shown against them is the workers compensation one, so treat it as a prompt rather than that scheme’s rule.

Data and privacy

What information do you hold?

Billing records only: patient name, claim number, insurer, invoice number, service date, practitioner, amount, lodged and paid dates, and the insurer’s payment reference. Nothing clinical, ever.

Where is it stored?

In Sydney. The database and the application both run in Sydney data centres, and your records are not stored outside Australia.

Is AI involved?

Yes, in three places. When you paste in an insurer’s pay advice, upload one as a PDF, or paste in an insurer’s approval email, the text is read by Anthropic’s AI service, outside Australia. From a pay advice it picks out the reference, amount, practitioner and date; from an approval email, the sessions approved and their dates. An approval email usually names the patient and the claim number. The AI is told to ignore anything clinical, and nothing is used to train AI models. The AI only suggests. A person confirms it. The privacy policy has the detail.

Who can see our records?

Your staff, using your practice’s login. No other practice can see your records; the database enforces that on every query. Versa Claims holds the administrative access needed to run and support the service.

Can we get our data out?

Yes, at any time and without asking. Everything downloads as spreadsheets that open in Excel. If you ask for your records to be removed, they are removed within thirty days.

Pricing and terms

What does it cost?

We go through pricing at the audit. There is no set-up fee and you can cancel any time.

Is there a contract or lock-in?

No. There is no set-up fee, you can cancel at any time, and the monthly price you start on is held for twelve months.

Are you connected to SIRA, icare or an insurer?

No. Versa Claims is independent and works only for the practice. See the disclaimers.
